Chief Hardman was kind enough to issue a prompt response to my request for public records of the Mitchell Police Department, though it looks like I’ll need to follow-up and file a request with Mark Kern, the Clerk-Treasurer, who actually maintains the records.

Jeremy,

In response to your request:

1. Salaries and stipends of any employees of the Mitchell Police Department, including, but not limited to, officers, dispatchers, and any other staff.

The Police Department does not have the records requested in item 1. The records requested in item 1 are financial records which are maintained by Clerk Treasurer Mark Kern.

2. Documents detailing maintenance expenses of Department-owned vehicles.

The Police Department does not have the records requested in item 2. The records requested in item 2 would also be financial records. These records would also be maintained by Clerk Treasurer Mark Kern.

3. Documents detailing miles driven, gallons of gasoline used, and maintenance expenses for any vehicles used or owned by the Mitchell Police Department between January 1, 2006 through September 30, 2006.

The Police Department does not have all the records requested in Item 3. For the most part these are also financial records. The mileage would be the only exception as gallons used would appear on the billing I would assume. These records would also be maintained by Clerk Treasurer Mark Kern. The police department does not track miles driven per se, but I will review our records to determine how to best fulfill your request.

It should be noted that when I state that Mark maintains these records that I am by no means implying that he has reports or documents that are exactly what you seek. You will need to submit a request to Mark for those documents.

4. The Police Department vacation schedule sheets showing all Police Vacations from January 1, 2006 through September 30, 2006.

For this request do you also want the dispatchers’ vacation records or just the Police records?

I will update you on this by sometime Tuesday October 10, 2006.
